Reporting absences

  • Notification: Parents/guardians must report student absences by 9:15 AM on the day of the absence. This can be done by:
    • Emailing <drattendance@orinda.k12.ca.us> and copying the student’s teacher.
    • Calling the attendance line at 925-258-6320.
  • Late Notification: Failure to notify the office by 9:15 AM will result in an automated attendance call.
  • Required Information: When reporting an absence, please provide:
    • Student's full name (spell the last name).
    • Teacher's name.
    • Reason for absence and estimated duration.
    • Your name and relationship to the student.
  • Doctor's Notes: For illness-related absences of three or more days, a doctor's note must be submitted within five days of the student's return.

Absences

According to Education Code Section 48205, the following types of absences are either excused or unexcused.
 
Excused
Students can complete all assignments and tests missed during the absence, receiving full credit for completed work.
Unexcused
Students may be able to complete all assignments and tests missed during the absence, receiving full credit for completed work.
  • Personal illness or injury.  
  • Quarantine under the direction of a county or city health office.  
  • Medical, dental, or chiropractic services. 
  •  Attendance at funeral services for a member of the immediate family.  
  • *Jury duty.  
  • *Pupil is the custodial parent of a child who is ill or has a medical appointment during school hours.  
  • Justifiable personal reasons, including, but not limited to, an appearance in court, observance of a holiday or ceremony of his or her religion, attendance at religious retreats, attendance at an employment conference, when the pupil's absence has been requested in writing by the parent and approved by the principal or designated representative.  
  • *For the purpose of serving as a member of a precinct board for an election.  
  • Exclusion for failure to present evidence of immunization.  
  • Exclusion from school because student is either the carrier of a contagious disease or not immunized for a contagious disease.

  • Vacation/Trips This includes vacations, retreats, family reunions, and trips planned far in advance.
  • Unverified: Any absence that is not called in within 5 days is marked as unverified, even if the student is out for an excusable reason.
  • Incomplete Independent Study If independent study work is not complete, the absence is not excused.
  • Suspensions
  • Tardies greater than 30 minutes without a valid excuse. California Education Code Section 48260.5 mandates that schools notify parents/guardians when a student’s unexcused absences meet or exceed any combination of three (3) unexcused absences or excessive tardies (30 or more minutes) in one school year.

independent study requests

  • Management: The attendance clerk manages all independent study requests.
  • Duration:
    • Independent study periods must be between 5 and 10 school days.
    • Students are permitted one period of Independent Study of 5-10 days per student, per school year.
  • Advance Notice: Requests must be submitted 10 school days prior to the desired start date.
  • Approval Process:
    • The principal must approve the independent study before it can be initiated.
    • Parents/guardians should email their request to <drattendance@orinda.k12.ca.us> and copy the student's teacher.
  • Independent Study Process:
    • The attendance clerk receives the request.
    • The clerk obtains principal approval.
    • The clerk coordinates with the teacher to prepare the independent study packet and provides it to the parent/guardian.
    • Completed packets are due on the student's return date.
    • The clerk files the completed independent study in Aeries.
    • The clerk provides the packet to the teacher for final review.
 
Illness

Illness

To protect the health of students, the school provides immediate care for emergency illness or injury, assists in control of communicable diseases, and administers hearing and vision testing. The office staff is qualified to render basic first aid. If your child becomes sick at school, the office staff will contact you and your child should go home. 

Students should not be sent to school if they are showing signs of illness, such as fever (100.5 degrees or above), diarrhea, nausea, constant coughing, excessive mucus, illness affecting student’s ability to focus and/or sore throat.

Children should be free of fever for 24 hours without the aid of fever reducing medication before returning to school. Parents should notify the school office whenever their child is going to be absent from school due to illness or injury. 

Children should also be vomit free for 24 hours before returning to school after illness.If your child has any long-term condition (such as asthma, allergies, diabetes, seizures, etc.) please be sure to note this on the emergency card and check with the office staff to learn if  there are other forms to fill out. Any student found to have any of the following contagious conditions will be sent home from school.
 
Strep Throat/Scarlet Fever Excluded from school a full 24 hours after treatment, fever is gone.
Chicken Pox Excluded from school until the blisters have dried into scabs, usually about 6 days after the rash appears.
Scabies Excluded from school a full 24 hours after treatment has been started.
Pink Eye If bacterial (with pus) excluded from school for 24 hours after treatment has started.
Impetigo Excluded from school until the student has been treated with antibiotics for at least 24 hours.
Head Lice A student who has active (adult) lice will be excluded from school until medicated treatment is completed and no live adult lice remain in their hair.
Pinworms or Ringworms A student does not need to stay home after treatment is begun.
Open Wounds Please cover any open and weeping wounds with gauze and or/bandages.

A note must be sent with your child if you believe that s/he should not participate in activities such as physical education, recess, or other activity because of their illness. If a child is unable to participate in an activity for more than three days, a doctor’s note is needed.

Note that the single most important act of prevention of colds/flu-like symptoms is good hand washing. Please help and encourage your child to practice good hand washing skills both at home and at school.
